Meridia Recruitment is pleased to partner with Ace Mechanical Ltd. to recruit a Procurement Specialist to join their team in Halifax, Nova Scotia.

Role Description

The Procurement Specialist will play a key role in managing procurement activities across the organization. Working closely with the Director of Operations, this position will support projects from the bidding stage through project execution by managing supplier relationships, material procurement, purchasing activities, and delivery coordination. As the company continues to grow, this role offers the opportunity to become the organization’s dedicated procurement subject matter expert and trusted resource for all procurement-related activities.

Your

responsibilities will include:
  • Prepare and process purchase orders, review order details for accuracy, and coordinate with internal teams to ensure timely delivery of products.
  • Build and maintain strong relationships with suppliers, vendors, and wholesalers.
  • Obtain and track supplier quotations, pricing, and delivery commitments.
  • Participate in the bidding process by obtaining supplier pricing and supporting quotation requests.
  • Support the transition of awarded bids into active projects from a procurement perspective.
  • Coordinate material and equipment orders to support operational and project requirements.
  • Monitor order status and follow up on outstanding deliveries.
  • Track material orders from issuance through delivery.
  • Identify and communicate price increases, supply shortages, delays, and discrepancies.
  • Assisting in analyzing procurement data to identify cost-saving opportunities and improve overall procurement processes.
  • Manage packing slips, material return slips, material transfer slips, and receiving documentation.
  • Maintain records of material receipts, returns, credits, and warranty documentation.
  • Coordinate supplier returns and warranty claims as required.
  • Review supplier invoices against purchase orders and receiving documentation.
  • Assist with invoice coding, routing, approval processes, and vendor reconciliations.
  • Support Accounting with procurement-related recordkeeping.
  • Work closely with project teams to support project delivery requirements.
  • Assist with the implementation and ongoing use of ERP software and procurement systems.
  • Perform general administrative duties, including obtaining office supplies and supporting internal administration as required.
  • Ensure purchasing records and vendor documentation remain accurate, organized, and complete.

  • 1-3 years of experience in procurement, purchasing, or a related role, ideally within a construction, mechanical contracting, industrial, manufacturing, or other project-based environment.
