Serving patients in the Greater New Haven and Fairfield County communities for 60 years, we are searching for an enthusiastic Medical Administrative Assistant to join our exceptional care team.
The Medical Secretary serves as the administrative member of a Physician’s team, fields patient calls, schedules surgeries, and stays abreast of all administrative patient needs in a fast-paced organization.
Essential Responsibilities- Surgical scheduling, including coordination with patient insurance authorizations.
- Managing the physician’s heavy call volume, handling appointments, prescription renewals, worker’s compensation notes, FMLA paperwork, etc.
- Coordination with physician, clinical MA, and various surgical sites.
- Working heavily on the computer in the EMR (required high level skill) to accurately document patient information.
- Ensuring test results are received prior to surgery and distributing them appropriately.
- Coordination on the clinical floor with front desk, Xray staff, and physicians.
- Preparing paperwork, x-rays, and other documents for surgery.
- Handling attorney record requests or other correspondence.
- Locating and printing all documents or orders in the fax queue for provider sign‑off and filing/faxing.
- Handling medical record requests from patients, attorneys, and insurance companies.
- Processing all incoming and outgoing mail for the provider and gathering signatures when needed.
- Performs other duties as assigned by supervisor.
- Knowledge and compliance with all HIPAA regulations.
- Proficient computer skills, especially in EMR systems.
- Excellent written and verbal communication skills and outstanding phone etiquette.
- Problem‑solving ability and teamwork.
- Knowledge of medical terminology.
- Adaptability to changing situations.
- Minimum 2 years in a Medical Administrative role; orthopedic experience a plus.
- Experience working in an EMR.
- Ability to work well on a team and take direction from multiple people.
- High school diploma required.
- Working knowledge of Microsoft Office (Word, Excel, etc.).
