Receptionist/Clerk (Housing)
Summary of DutiesReporting to the Supervisor Tenant Resolutions, the incumbent receives and redirects visitors, and handles all incoming and outgoing mail for City Housing.
General Duties- Answer general enquiries
- Redirect calls to appropriate staff
- Take messages and forward them to appropriate staff in a timely manner
- Receive and announce visitors
- Data entry
- File documents
- Process incoming mail by opening, sorting, and distributing
- Process outgoing mail by preparing forms for Priority Post, EMS courier, Fed Ex, and Purolator
- Replenish postal meter with correct dollar amount when necessary
- Contact vendors for repairs and purchases of postage meter supplies and maintenance, review invoices and forward to accounts payable for payment
- Maintain inventory of office supplies, order and replenish as needed, maintain log of repairs and issues on office equipment
- Maintain office filing system for confidential client and correspondence files
- Process purchase of office equipment supplies such as toner for printer and fax machine
- Post notices on bulletin board
- Schedule meeting rooms for staff as required
- Balance petty cash
- Perform other duties as assigned which are directly related to the major responsibilities of the job
- Work in accordance with applicable Health and Safety legislation and all City of Hamilton corporate and departmental policies and procedures related to Occupational Health and Safety
- Previous office experience related to duties listed above, normally acquired through a combination of education and related work experience
- Demonstrated experience and ability to answer switchboard and redirect calls as necessary in an efficient and courteous manner
- Experience in a computerized setting, working knowledge of Microsoft Office (Outlook, Word, and Excel)
- Demonstrated ability and experience in word processing correspondence and documents
- Effective interpersonal and communication skills to relate well to both peers and the public

Hours:
35 per week
As a condition of employment, the successful applicant(s) will be required to obtain a Criminal Records & Judicial Matters Check, at their own expense, prior to beginning work in this position.
