Job SummaryManages a multidisciplinary team across inpatient and outpatient Physical Therapy departments. Schedules workflow, oversees the daily workload and assigns priorities. Performs registration duties for outpatient Physical Therapy and any other outpatient service as needed. Processes and files registration records and acts as liaison with patient family members or responsible party. Performs and assists with scheduling appointments, referrals, medical records, filing, scanning, and verifying charges.
Performs duties involved in receiving payments from patients, accounting for and depositing payments and assuring payment information is reflected on patients’ accounts. Answers multi-line telephone using departmental procedures in routing and transferring calls. Prepares and assists with reports and data collection as assigned. Reports to Director of Quality. OSHA Bloodborne Pathogens Class III.
- Education: High school diploma or equivalent
- Personal job-related skills: Familiar with operating personal computers and knowledge of general clerical duties.
- Licensure, registry or certification: CPR Certification

Work Experience:
Previous office experience in a medical setting
preferred. - Technical Training: None required.
- Physical and Mental Requirements: Duties of the position require intermittent walking, sitting and standing. Some bending, stooping and reaching is required with the lifting of items up to a weight of 40 pounds. The ability to comprehend and follow routine written or verbal instructions.
- Coordinates the day-to-day activities of Hamilton General Hospital assigned outpatient service departments
- Schedules, greets, registers and instructs patients for appointments in a friendly and courteous manner.
- Processes referrals including verifying appropriate referral components and understanding patient benefit coverage.
- Schedules patients for appointments
- Manages appointment schedule for outpatient departments to accommodate department staffing and patient needs
- Processes patient for registration
- Secures necessary information from patients or responsible parties
- Obtains consent signatures for appointment and testing
- Secures required deposit or insurance information
- Obtains and updates insurance information, verifies coverage and pre-certifies patients if necessary
- Verifies co-insurance and collects deductibles.
- Reviews past records for delinquent accounts and refers matter to supervisor if necessary.
- Makes an appropriate financial arrangement if patient is not insured.
- Prepares reports and maintains files as directed
- Prepares report of daily transactions and other periodic reports as directed.
- Participates in the Hamilton Healthcare System-wide QAPI program
- Understands clinical quality measures relevant to assigned departments
- Ensures documentation for quality measures is performed
- Maintains confidentiality while working with confidential matters on a daily basis.
- Provides service direct to patrons while maintaining a positive atmosphere.
- Interacts with patients, family members and Medical Staff members on a continuous basis.
- Follows aseptic procedures and precautions when involved in direct patient contact or handing potentially infectious materials.
