Hillfield Strathallan College is seeking an experienced and highly capable Facilities Manager to provide leadership, operational oversight and continuous improvement across the College’s campus facilities and infrastructure.
The Facilities Manager leads the maintenance, custodial, grounds and security functions. The role is responsible for ensuring that the campus provides a safe, clean, efficient and welcoming environment that supports teaching, learning and community engagement.
This is a hands‑on leadership position requiring strong technical knowledge, sound judgment and the ability to balance immediate operational priorities with long‑term facilities planning. The Facilities Manager will oversee preventative maintenance, capital renewal, asset management, regulatory compliance, departmental budgets, contractors and emergency response activities.
Key Responsibilities Facilities Operations and Maintenance- Lead the day-to-day operation and maintenance of College buildings, grounds, equipment and infrastructure.
- Oversee maintenance, cleaning, grounds and security personnel, establishing clear service standards and performance expectations.
- Implement and maintain effective preventative maintenance programs.
- Manage work orders, maintenance schedules and facility condition assessments.
- Prioritize repairs and coordinate emergency or after‑hours responses.
- Ensure that buildings, grounds and public spaces consistently present a safe, clean and professional environment.
- Support the development and implementation of the College’s facilities master plan.
- Plan and oversee capital renewal and infrastructure projects from initial scoping through completion.
- Coordinate consultants, contractors, trades, permits, inspections and project schedules.
- Monitor project quality, budgets, timelines and compliance with applicable codes and standards.
- Schedule work to minimize disruption to students, employees and College operations.
- Prepare project updates and communications for the College community.
- Develop and maintain comprehensive inventories of buildings, equipment, vehicles and major facility systems.
- Track equipment life cycles, maintenance history and replacement requirements.
- Maintain long-term capital replacement forecasts.
- Recommend annual capital renewal and reinvestment priorities.
- Ensure facilities and maintenance records are accurate and current.
- Promote a strong culture of workplace health and safety throughout the Facilities Department.
- Ensure compliance with applicable occupational health and safety, fire, building, accessibility and environmental requirements.
- Conduct regular facility inspections, risk assessments and hazard reviews.
- Ensure contractors comply with College safety procedures and documentation requirements.
- Support emergency preparedness, business continuity, lockdown procedures, fire drills and incident response.
- Develop operating and capital budget recommendations.
- Manage the Facilities and Security budgets and provide oversight of Cleaning and Grounds expenditures.
- Monitor spending and identify operational efficiencies.
- Obtain quotations and manage procurement and contractor selection processes.
- Review contractor performance and ensure work is completed safely, on time and to the required standard.
- Exercise responsible stewardship of College resources.
- Ensure classrooms, meeting rooms, athletic facilities and event spaces are appropriately prepared.
- Coordinate staffing, setup, teardown and facility support for internal and external events.
