We are looking for a highly motivated, personable, and sales-driven Client & Sales Specialist to join our growing mental health clinic. This is a sales-focused client care role responsible for converting inbound inquiries into booked appointments and new clients. You will be the first point of contact for many individuals and families reaching out to our clinic and will play a critical role in helping prospective clients understand our services, overcome barriers to booking, and take the next step toward care.
The successful candidate will be comfortable with providing information around mental health services, following up with leads, handling objections, and converting leads into clients – all while maintaining a warm, empathetic, and professional approach. This role also includes calendar management, intake coordination, customer service, and general administrative responsibilities to ensure a seamless experience for both clients and clinicians. This is an in-person role at our Mississauga or Hamilton clinic with some travel required in the GTA.
Sales & Lead Conversion
- Own the conversion process for all inbound leads and inquiries.
- Respond quickly and professionally to new leads through phone, email, text, and other communication channels.
- Clearly communicate the clinic's services, clinicians, fees, availability, and value.
- Convert qualified leads into booked consultations, assessments, and/or appointments.
- Proactively follow up with leads who have inquired but have not yet booked.
- Maintain a structured follow-up process to ensure no qualified lead falls through the cracks.
- Re-engage older, inactive, or lost leads when appropriate.
- Track lead status, follow-up activity, bookings, and conversion outcomes in the CRM.
- Meet established lead conversion, booking, and sales targets.
- Continuously identify opportunities to improve conversion rates and the overall sales process.
- Provide an exceptional first impression and client experience from the initial inquiry.
- Communicate with individuals, parents, couples, and families seeking mental health support.
- Coordinate the transition from initial inquiry through booking and intake.
- Answer questions about services, clinicians, fees, policies, and appointment options.
- Recognize when a question or concern requires involvement from a clinician or manager and elevate appropriately.
- Manage clinician calendars and appointment availability.
- Book, reschedule, and cancel appointments and consultations directly with prospective and existing clients.
- Maintain accurate lead, client, and appointment information within the clinic's systems.
- Document lead interactions, follow-ups, outcomes, and next steps.
- Assist with intake forms, documentation, billing-related administration, and payment collection where required.
