SummaryPerforms a variety of front desk functions in a medical office to include registering patients, making appointments, and processing patient payments by performing the following duties.
Patient Registration and Out Processing- Performs all functions checking in and out patients in an accurate and timely manner.
- Advises patients regarding payment options to include assistance programs and commercial insurance eligibility.
- Collects co-payments from patients in the form of cash, check, and credit card in a professional manner and provides receipts.
- Maintains patient flow based on appointment setting and medical need; directs other patients and visitors to appropriate areas.
- Communicates with waiting patients about progress toward being seen, backlogs with the back office, and suggests solutions.
- Schedules patient appointments accurately and promptly.
- Assists patients with insurance questions.
- Makes financial arrangements with patients, explains payment options, and obtains patient’s choice of options.
- Answers phone, takes messages, and routes them to the appropriate area in a timely manner.
- Prepares daily report sheets and deposits for the center; balances cash collections with posted payments.
- Checks accounts for all patients scheduled to be seen the next day for any outstanding balances.
- Verifies all fee tickets are complete and charges are entered in the practice management system.
- Prepares daily deposits for bank transfer and secures cash until transferred to authorized personnel or deposited at the bank; balances cash collections with posted payments.
- Pulls charts as needed and as indicated by provider.
- Participates in quality improvement activities such as group meetings, PDSA pilots, improving relevant processes, etc.
- Assists as assigned in patient communications, such as care reminders, tracking follow-up, etc.
- Maintains appearance and materials in lobby.

QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Education and/Or ExperienceHigh School diploma or equivalent.
Language Skills- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; write routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees of the organization.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Current practice management system, electronic medical record, Microsoft Word, text paging, Internet, and Intranet.
