Position
Purpose:
To coordinate and perform a wide variety of department and program activities that will increase department and program efficiency, expedite and coordinate the work of others, and ensure the smooth operation of the department and programs.
Administrative Office Support (20%):
- Coordinates a variety of activities to support department functions.
- Monitors and orders department supplies.
- Updates and maintains department website within template and departmental guidelines.
- Troubleshoots and orders service of department and building equipment (photocopies and conference room technology).
Communication (30%):
- Serves as a point of contact representing the department/program to the institution and external constituencies.
- Responds to inquiries from faculty, staff, undergraduate, and graduate students.
- Coordinates a wide range of department publicity and communications; advertises academic prizes, colloquia and workshops, and Honors Program events; posts electronically events and resources of interest to department majors and minors.
- Communicates with faculty regarding course updates and provides assistance with registration and grade submission processes.
- Maintains cognizance of working in a community that welcomes all.
Academic Support (50%):
- Leads the maintenance of department records pertaining to course scheduling, prerequisites, and degree progress for undergraduate and graduate programs, ensuring accuracy and compliance.
- Coordinates with the Undergraduate Chair to track and communicate degree progress for undergraduate majors/minors, including the certification of standings at term‑end.
- Manages the enrollment process for culminating seminars, independent research, and thesis tracks.
- Assists instructors in the submission of final grades and citations.
- Prepares and submits annual updates to the course catalog.

- Performs other duties as assigned.
Required:
- Associate’s degree or equivalent combination of education and experience.
- Two or more years of office experience in a related field, with some autonomy.
- Strong organizational skills.
- In‑depth knowledge of office procedures.
- Ability to acquire new technical skills and implement new procedures.
- Attention to detail and accuracy.
- Proficiency with computer applications (including Excel, Adobe, Drupal).
- Excellent verbal and written communication and interpersonal skills.
Preferred:
- Experience working in higher education.
- Proficiency in Excel, PowerPoint, and Microsoft Word.
