The post holder will ensure high levels of patient and clinician satisfaction by being an accessible, patient focused and knowledgeable point of contact.

Job Summary

The job summary is described below:

  • Working closely with the Team Lead to be a key contact for the service for all patient related and administrative matters.
  • Be the key contact for the organisation of out-patient clinics, including clinic reduction/cancellations and making of urgent appointments.
  • Provide secretarial support to ENT services.
  • Monitor/validate patients throughout their pathway, from point of entry, escalating issues promptly to ensure compliance with waiting time standards.
  • Support coordination of national and local audits through effective data collection.
  • Work cross-site on an ad hoc basis.
  • Support the Team Lead to ensure all administrative processes are delivered to a high professional standard, including clinic letters and minutes taking.
  • Cancel or reduce clinics as leave is booked and take ownership of clinic templates to manage numbers to ensure clinics are booked to capacity while being appropriate for the number of doctors in clinic.
  • Respond to the need to re-prioritise patients in clinic to meet clinical urgency and make ad hoc urgent appointments as required.
  • Re-book patients to ensure they are seen within waiting time targets and as necessary for clinical urgency; escalates to the Team Lead if this is not possible.
  • Track clinic outcomes to ensure requested tests are booked within an acceptable timeframe and re-book out-patient appointments as required.
  • Track when results are available and liaise with relevant consultant to determine whether follow-up in clinic is required.
  • Maintain an up-to-date record of patient tracking.
  • Handle all telephone and email queries efficiently and professionally.
  • Provide administrative support to allocated grouping of consultants and their teams.
