Pay Range

Base pay range: $36,372 – $59,377 per year.

Summary

Medical Support Assistant positions are in Clinical Operations within the Health Administration Service at the White River Junction VA Medical Center. Full‑time, 40 hours per week.

Qualifications
  • United States Citizenship:
    Non‑citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA policy.
  • Experience and

    Education requirements:

    Six months experience in clerical, office, customer service, or other administrative work indicating the ability to acquire the required knowledge and skills.
    OR one year above high school education.
    OR an equivalent combination of experience and education qualifying for entry level.
  • English language proficiency:
    Must be proficient in spoken and written English.
  • May qualify based on the Grandfathering Provision for current VHA employees who meet the criteria.
  • Grade determination: GS‑03:
    Medical Support Assistant experience or education.
  • Demonstrated knowledge, skills, and abilities (KSAs). All KSAs below must be demonstrated for each grade level:
    GS‑04:
    One year experience in clerical, office, customer service, or other administrative work.
    OR two years of education above high school.
    Ability to meet, communicate, and interact with individuals from varying backgrounds and health‑care team members in a courteous and helpful manner.
    Ability to use various office automation equipment and software to support patient care.
    Knowledge of basic medical terminology.
    Skill in recording patient messages and understanding physician requests for follow‑up care.
    GS‑05:
    One year experience equivalent to the GS‑4 grade level.
    OR four years of education above high school.
    Ability to operate computerized programs and systems to enter, modify, and retrieve sensitive medical and patient identifying information (PII).
    Advanced knowledge of medical terminology to communicate clinical staff instructions to patients.
    Ability to schedule medical appointments in a clinical setting.
    Ability to work independently in a wide variety of duties performing patient support work.
    Ability to communicate effectively and professionally in person, electronically, and by telephone with internal and external customers.
    Skill in customer service to identify concerns and refer to appropriate staff for resolution.
  • Physical requirements:

  • Education:

    Submit a transcript with the application if basing qualifications on education.
Responsibilities / Duties
  • Cross‑train in a variety of complex processes and procedures; collaborate and provide administrative support across all services.
  • Recognize, prioritize, multitask, communicate effectively, and provide customer service.
  • Consult with clinic staff when processing physician scheduling and administrative orders.
  • Schedule, reschedule, and cancel appointments in accordance with VHA national scheduling guidelines.
  • Utilize patient data systems for scheduling and annotating patient records.
  • Screen and receive phone calls courteously, determine request nature, and provide information while adhering to privacy rules.
  • Collect, verify, and update third‑party insurance information in the Insurance Capture Buffer (ICB) system.
  • Ensure accurate data entry into VISTA and scan documents into VISTA Imaging within 24 hours.
  • Promote Veteran registration for and utilization of Healthe Vet (MHV) and pre‑register veterans before scheduled visits.
  • Update patient demographics and communicate appropriately with adult and geriatric patients.
  • Ensure proper use of VA forms and adherence to regulations.
  • Prepare correspondence and memos as needed.
  • Stock basic office supplies for the clinical area.
  • Complete additional duties assigned by the supervisor to ensure efficient daily operations.
  • Full‑time work schedule:
    Monday‑Friday, 8:00 a.m. – 4:30 p.m.
  • Telework not available; position is not virtual.
