Job Duties and Responsibilities
- Review timesheets, specifically equipment, and assist Billing Specialist with incorrect unit #’s and questions.
- Make report notes on equipment with 0 hours. This report will assist executives in weekly meeting with GF’s.
- Generate updated Equipment by Foremen Weekly Report by transferring equipment to assigned crew. Email reports to supervisors and Accounts Receivable to help maintain accuracy.
- Add new equipment with GPS installation to website and update with accurate crew assignment.
- Create and email electronic timesheets.
- Set up new equipment in Dynamics.
- Maintain fuel card listing. Ordering replacements as needed.
- Run WEX Guard Fuel Report daily for the prevention of fuel theft.
- Tagging and Titling on all new equipment and processing our tag renewal months.
- Maintain accurate equipment files.
- Process and document all sold equipment.
- Process rental equipment invoices.
- Process and pay quarterly IFTA taxes and Heavy Duty Highway tax.
- Assist co-workers and executives with any information requested.
- High School Diploma or equivalent required.
- Associates or bachelor’s degree in information technology or related field is preferred.
- Prior Experience In Fleet Administration Preferred.
- Advanced knowledge of Microsoft Office Suite.

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Consists of sedentary work. Ability to lift up to 10 pounds. Substantial movements of the hands, wrists, and/or fingers. Required to have close visual acuity to perform activities such as preparing and analyzing data and figures or viewing a computer screen.
