Job DescriptionWe’re seeking proactive, adaptable administrative assistant to work closely with the Director and team from our Hastings office. This role is central to the smooth running of the studio, offering varied responsibilities and the opportunity to help shape systems as the business grows. Flexibility, problem-solving and the ability to manage multiple tasks are essential as the role evolves with True Level.

- Experience in administration, operations or studio/project support, ideally in the arts or creative sector.
- Strong organisational skills with excellent attention to detail.
- Clear, confident written and verbal communication.
- Proactive, solutions-focused and comfortable refining systems and processes.
- Skilled in document organisation, cloud storage and digital file management.
- Confident using digital tools such as Google Workspace, Trello, CRM and cataloguing platforms.
- Collaborative mindset, supporting a small, growing team and contributing to operational excellence.
- Support the Director with scheduling, communication and day-to-day coordination.
- Maintain studio systems (Trello, CRM, shared drives) and manage documentation.
- Assist accounts and logistics with quotes, paperwork and project materials, including health and safety documentation.
- Help organise and improve the Hastings warehouse and studio.
- Prepare internal reports on project progress, stock, client updates and technician availability.
- Manage the Director’s calendar, appointments and meetings, and coordinate technician schedules, project timelines and team availability.
- Support internal and external communications, respond to client enquiries and keep the team updated across email, Trello and Whats App.
- Monitor daily operations, identify issues and implement solutions, supporting client management, accounts, logistics and projects.
- Maintain organised systems and documentation to ensure smooth studio operations.
- Oversee technician records and training compliance, assist with scheduling, onboarding, enquiries, quotes and project documentation, and help maintain consistent team communication.
Location: True Level Studio, Unit 1, Platform Business Centre, Haywood Way, Hastings, TN35 4FB
Hours: 30 hrs/week (Mon-Fri 9:00-15:30 or Mon-Thurs 9:00-17:00)
Salary: £23,000-£25,000 DOE
Leave: 23 days + bank holidays
Interviews: Hastings, first/second week of January 2026
Job Requirements- The role requires a proactive, adaptable administrator with experience in administration, operations or studio/project support, ideally within the arts.
- Strong organisational skills, excellent attention to detail and clear written and verbal communication are essential.
- You must be solutions-focused, confident refining systems and skilled in digital file management, cloud storage and tools such as Google Workspace, Trello and CRM platforms.
- A collaborative approach is key, supporting a small, growing team.
