Job Summary

Serves as an assistant to the Assistant Director/Clinical Coordinator at DuBard School for Language Disorders with all stages of the pre‑enrollment and enrollment process for students. Manages cases for those seeking evaluations, out‑client therapy, or full‑time enrollment services from the DuBard School. Manages all aspects of appointments, manages waiting lists for services, conducts mailings, and serves as liaison with school district special education directors.

Job Duties and Responsibilities
  • Assists with daily operation of the school office. Answers the telephone, manages messages and disseminates information about DuBard School services. Maintains the highest standards of confidentiality and professionalism.
  • Receives referral case history information from parents of prospective students and other sources. Files referral forms in Referral Book while tracking all demographics; files confidential documents into student files. Coordinates mailing of application packets and letters to potential enrollees and/or potential out‑clients.
  • Schedules diagnostic teaching students, IEP meetings with parents, copies and mails results of diagnostic teaching to parents/school districts, mails completed IEPs and re‑evaluations to school districts. Assembles and provides DuBard School records for exiting students and SSI applications.
  • Manages scheduling through online calendar, conducts reminder/confirmation calls for out‑client evaluations/conferences, and updates out‑client evaluation tracking spreadsheet.
  • Receives and posts payments to Quick Books and receivables log. Assists clients with account information.
  • Participates in developing processes and procedures to improve efficiency in all job duties. Maintains thorough knowledge of techniques, procedures, and equipment pertaining to the job and other duties as assigned.
Minimum Qualifications

High School diploma or the equivalent. Minimum of two years working in a professional environment.

  • Ability to complete word processing, document and data management, and routine reports and correspondence with accuracy and punctuality.

  • Demonstrate strong organizational skills.
  • Detail oriented with excellent record keeping skills.
  • Ability to demonstrate sensitivity, respect, and discretion when interacting with confidential matters.
Preferred Qualifications

Bachelor’s degree from an accredited college or university.
