Join Cal State East Bay as the Quantitative and Behavioral Sciences Hub Office Manager. This full‑time position supports the departments of Mathematics, Psychology, and Statistics & Data Science and provides administrative support, academic management, and project coordination.
Salary And BenefitsStep 1 – Step 12 salary range: $4,367.00 per month to $5,430.00 per month. Benefits include medical, dental, vision, retirement (CalPERS), 401k, 457, 403(b), dependent and health care reimbursement accounts, life insurance, vacation and sick leave, 14 paid holidays, one personal holiday and tuition fee waiver. Cal State East Bay offers a hybrid telecommute program subject to management approval.
About The PositionThis office manager provides autonomous decision making, compliance with regulations, record keeping, and interaction with campus offices. The role emphasizes course scheduling, student services, special events, graduate program assistance, and knowledge of institutional policies and State/Federal regulations.
Responsibilities Office Management- Assist students, faculty, staff, and visitors via phone, email, and in person.
- Provide first‑level faculty orientation and faculty support.
- Gather data and prepare reports; determine student assistant eligibility; coordinate assignments; complete SEAFs and payroll.
- Track property; make department purchases; maintain University procurement card; complete monthly Pro Card report per guidelines; approve analyst/chair; assist travel reimbursement and student travel; manage department websites.
- Create and manage class schedules; manage adds/drops and enrollment issues.
- Assist students with registration; support chair, faculty, and instructional staff.
- Communicate with prospective graduate students through the application and admission process.
- Edit curriculum materials; work with chairs on program revision; maintain records of Capstone memos; attend meetings and training sessions.
- Assist with special events and projects; provide and coordinate support for faculty searches and external visits.
- Maintain records of Capstone memos; maintain student/alumni/faculty database; coordinate with College and University Scholarship Coordinators; develop rapport with donors of scholarships.
- A fully functional knowledge of office procedures and practices.
- Ability to understand and operate in a variety of organizational structures.
- Thorough knowledge of English grammar, spelling, and punctuation; clear oral and written communication.
- Knowledge of business mathematics beyond basic arithmetic.
- Ability to use and quickly learn new office support technology systems and software packages.
- High school program, technical/vocational program, or equivalent combined with several years of related office experience.
- Strong communication, organizational, and multi‑tasking skills.
- Ability to interact with a wide variety of people.
- Computer skills, including Microsoft Office, internet browsers, and email.
- Experience in a busy environment, completing tasks in the face of regular interruptions.
- Bachelor’s degree.
- Experience in an office manager position is preferred.
