We're looking for a DMS Administrator to join our team based from Helensburgh
. This role benefits from our 4xFlex working pattern, offering a 4-day working week Monday - Thursday and hybrid working with typically 1-2 days onsite.

The DMS Administrator will be the subject‑matter expert on the M‑Files platform, responsible for the design, configuration, deployment, and optimisation of our digital‑document management environment.

This role ensures that our information lifecycle processes are efficient, compliant, and aligned with business objectives.

Administration & Configuration
  • Manage M‑Files Objects, Document Types, Metadata, Views, Rules, Profiles, and Customisations
  • Set up, maintain, and upgrade M‑Files on‑premises
  • Apply and test M‑Files security, audit, and compliance settings
  • Design and implement integration points with ERP, CRM, SharePoint, Office‑365, LDAP/AD, and third‑party APIs
  • Build & maintain integrations with M‑Files using both REST and SOAP APIs
User & Business Support
  • Conduct training workshops for business group administrators.
  • Create and maintain user documentation and best‑practice guides.
  • Escalate and resolve incidents in alignment with guidance.
Process & Productivity
  • Experience with workflow engines.
  • Draft and refine Document Lifecycle Management (DLM) policies (retention, access, versioning).
Security & Compliance
  • Ensure data‑classification, encryption, and access‑control standards meet GDPR and internal policies.
  • Periodically audit M‑Files against regulatory requirements.
Change Management
  • Participate in release controls; design test cases, execute UAT, and validate live deployments.
  • Update system documentation with each version‑upgrade.

Required skills, qualifications and experience
  • Significant experience in a DMS Administration / Consulting role
  • Proven track‑record of DMS rollout, migration, or full‑scale operation
  • DMS architecture, metadata design, rules, security groups, versioning, and workflow engine
  • Experience with REST, SOAP, JSON Web Services
  • Windows Server (IIS, SQL, Active Directory)
  • Power Shell scripting, Share Point
  • Basic knowledge of GDPR, ISO 27001 and other legal frameworks
  • Strong analytical, problem‑solving and project‑management abilities
  • Ability to translate business requirements into technical solutions

Lockheed Martin UK – Strategic Systems (LMUK SS) is the single contractor providing specialist Waterfront In‑Service Support to one of the Royal Navy's Submarine Programs. The company provides the Ministry of Defence (MoD) with safe, efficient and responsive support.
