the Job About?

As part of our Lands function, you’ll play a key role in coordinating Third‑Party Enquiries and safeguarding BPA’s pipeline network. You’ll assess incoming information, communicate with landowners and external stakeholders, organise site supervision, and ensure that all works near pipelines follow BPA’s safe procedures. You’ll also support scrub‑clearance activities, maintain accurate departmental records, and assist in updating GIS data to ensure the integrity of our asset information.

You'll Be Doing
  • Act as the main contact for enquiries from external organisations, providing prompt responses, gathering the right information, and arranging any required site visits.
  • Keep department records, databases, and filing systems up to date so all information is accurate and easy to find.
  • Review information from external parties to understand any potential issues and pass on clear instructions to colleagues or other stakeholders.
  • Organise and track work carried out by field staff, making sure tasks are completed and any related costs are recorded properly.
  • Prepare and send letters and information packs to landowners and other contacts when needed.
  • Handle basic purchasing tasks such as raising orders and arranging equipment checks for team members.
  • Answer incoming calls to the department and help process updates received from regular monitoring activities.
  • Support other teams across the organisation by providing information from the Lands department.
  • Contribute to team projects and improvements aimed at making processes more efficient and ensuring data remains accurate.
What You’ll Need
  • Proven administration experience within an office environment, ideally involving documentation control, stakeholder communication, or records management.
  • Strong organisational skills, with the ability to manage a high volume of enquiries, prioritise effectively, and maintain accuracy under pressure.
  • Confident, calm, and clear communication skills when dealing with internal teams, landowners, contractors, solicitors, suppliers, and other external bodies.
  • Experience using GIS systems and strong general IT literacy, including Microsoft Office; familiarity with Microsoft Dynamics is an advantage.
  • A proactive and self‑motivated approach, capable of working independently while contributing positively to a small, busy team.
  • Good problem‑solving ability, sound judgement when assessing third‑party information, and readiness to provide clear, actionable instructions.
