Job description
Position Title: Office Admin
Department: Operations
Reports To: Site Manager
Location: Henderson, NV
Work Location: In person
Employment Type: Part-Time (On-Site 2-3 Days/Week)
The Office Admin is a key support role responsible for ensuring the smooth daily operations of our workplace. This role combines administrative support with facilities coordination to deliver a safe, efficient, and welcoming office environment. You'll serve as a primary point of contact for internal staff needs, vendor coordination, and basic facilities functions.
Key Responsibilities Office Administration- Manage general administrative tasks including filing, photocopying, mail distribution, and supply inventory.
- Greet visitors, support meeting check-ins, and assist with basic front-desk inquiries.
- Support scheduling and calendar coordination for common rooms and resources.
- Maintain office documentation and assist with internal requests (e.g., equipment needs).
- Coordinate routine maintenance and repairs with vendors and service providers.
- Maintain office supplies, equipment inventories, and place orders as needed.
- Assist with workspace setup and teardown for events or onboarding.
- Monitor basic health & safety compliance, elevate issues promptly.
- Serve as a liaison between internal teams and external contractors.
- Track vendor contracts, service agreements, and contractor access schedules. Create PO as per internal policies.
- Manage fiscal responsibilities including budget, financial management
- Serve as SPOC for Finance, HR, or Recruitment as required
- Ensure the company's operations adhere to global policies
- Previous experience in office administration or facilities support preferred.
- Highly organized, detail-oriented, and proactive in solving problems.
- Excellent interpersonal and communication skills.
- Comfortable handling multiple concurrent tasks in a fast-paced environment.
- Proficiency with Microsoft Office Suite (Outlook, Excel, Word) or equivalent tools.
- Basic vendor management and facilities coordination experience is a plus.
- On-site presence 2-3 days per week.
- The remaining work week may be flexible, subject to team needs.
Salary Range:
Up to $2,500 USD / month (depending on experience and qualifications).
Compensation / Pay Rate (Up to): $25.00 - $30.00 Per Hour
