Weatherization Intake Specialist

Schedule:
Typically Monday - Friday 8:00 am - 4:30 pm, 37.5 hours/week
Starting Pay: $17.00/hour

Location:
Henderson, Tennessee
- Receive and process applications for the THDA Weatherization Assistance Program.
- Conduct eligibility screenings based on income, household composition, ownership/rental status, and prioritization criteria (e.g., elderly, disabled, high energy burden).
- Request, collect, and verify required documentation such as proof of income, utility bills, property ownership verification, and identification.
- Explain program requirements, timelines, and next steps to applicants.
- Maintain accurate and complete client files in accordance with THDA, DOE, and organizational guidelines.
- Enter client data into THDA-approved software systems and maintain up-to-date application status tracking.
- Prepare files for energy auditors, inspectors, and program staff.
- Ensure all documentation is compliant with federal and state audit standards.
- Provide high-quality customer service to applicants, landlords, social service agencies, and internal staff.
- Respond to inquiries via phone, email, mail, and in-person visits.
- Coordinate with landlords for rental property participation, consent forms, and required approvals.
- Assist applicants in completing forms and gathering missing documentation.
- Schedule energy audits, inspections, and follow-up visits in coordination with field staff.
- Maintain logs of pending, approved, and waitlisted applications.
- Assist with outreach efforts to increase program awareness in the community.
- Support reporting requirements by providing accurate data for THDA and internal reporting.
Required
- One year or more of experience in intake, customer service, or administrative work.
- Strong organizational and data-entry skills with high attention to detail.
- Ability to maintain confidentiality and follow strict compliance guidelines.
- Proficiency with office software (Microsoft Office, electronic forms, databases).
- Clear communication skills, both written and verbal.
Preferred
- Experience with federally funded programs (WAP, LIHEAP, HUD, THDA programs).
- Knowledge of income-eligibility verification and documentation requirements.
- Familiarity with energy-assistance or weatherization programs.
- Customer service and interpersonal communication.
- Attention to detail and accuracy.
- Confidentiality and compliance awareness.
- Time management and multitasking.
- Problem-solving and decision-making.
- Cultural sensitivity and empathy toward low-income households.
- Primarily office-based with periods of phone and in-person client interaction.
- May require occasional outreach events or home-visit coordination.
- May require overnight travel for training and conferences.
Due to the nature of this role and its impact on service delivery, regular and dependable attendance is an essential job requirement. Employees must be available to work assigned schedules and comply with agency attendance and leave policies.
