Morning
  • Ensures the CMMS system is up to date, addressing any new updates or alerts.
  • Assists in the review of weekly PM/CAL work orders and asset activations in the CMMS, coordinating with the maintenance team for scheduling.
  • Compiles weekly activity reports, monitoring the status of maintenance projects and maintaining meticulous records.
Afternoon
  • Engages in data analysis regarding parts/assets and suggests improvements for the CMMS software and process modifications.
  • Provides CMMS software training to end-users and new users, offering guidance and support as a problem‑solving liaison when needed.
  • Updates the CMMS with current information on Cap‑Ex equipment onboarding, decommissioning, retiring, and data modifications.
Once a Week
  • Analyzes and shares facility metrics with the Facilities Engineer Manager, offering insights into the operational efficiency of maintenance activities.
  • Ensures consistent auditing of the CMMS spare parts inventory and shares the weekly spare part cycle count results with the facilities management team.
  • Keeps track of the facilities budget, assisting in the forecasting and budgeting of R&M and Capital expenditures.

Throughout the month, the Admin Associate also takes on the responsibility of managing the 5S program, promoting an organized and efficient work environment. This role is essential in supporting the maintenance systems and contributing to the effective management of company assets.

    Training new users and offering ongoing support to foster a knowledgeable team capable of fully utilizing the CMMS.
  • Budget and Inventory Management:
    Playing a crucial role in budget tracking and spare parts inventory management to affect the company’s financial health and operational readiness.
  • Process Improvement:
    Auditing and reviewing CMMS usage, implementing best practices, and contributing to workflow refinement for long‑term benefits.

What You Bring
  • Associate degree:
    Preferably in business administration, facilities management, or information technology.
  • Experience with CMMS:
    Prior experience working with CMMS or similar systems to manage maintenance operations, asset tracking, and work order management.
  • Understanding of cGMP: A solid understanding of cGMP, essential for ensuring product safety and efficacy in manufacturing processes.
  • Data Management

    Skills:

    Proficiency in data analysis and reporting to measure and publish facility metrics and perform regular CMMS audits.
  • Training

    Experience:

    Experience providing training and support to end‑users of software systems.
  • Budgeting and Forecasting:
    Familiarity with budgeting and forecasting for repair and maintenance (R&M) and capital expenditures.
  • SAP or equivalent experience required.

Compensation
