This position will be the first point of contact for the Pinnacle Premix facility located in Hereford, TX. Primary responsibilities include processing customer orders daily via phone, and email, both timely and accurately, managing outbound scheduling, and general office coordination. This role operates in a fast-paced, start-up style environment. The position requires a self-starter with strong organization skills, attention to detail, and effective verbal and written communication.

In addition to providing superior service to external visitors and customers, this position will provide administrative support to management.

Essential Duties and Responsibilities
  • Be point of contact for customers and responsive to requests.
  • Input customer sales orders and dialogue directly with customers via phone and email regarding order status, changes, and general inquiries
  • Identify correct pricing and ensure accurate entry of sales data to maintain order integrity and billing accuracy.
  • Provide sales order confirmations, quality certificates, and maintain forecasting information.
  • Handle Hereford internal communications, organize, track vendors and customers
  • Assist with coordination of customer and vendor visits.
  • Greet all visitors; ensure that their arrival is properly documented and that the relevant parties are notified. Provide them with the required Personal Protective Equipment and visitor guidelines to uphold food safety and protective safety regulations.
  • Communicate with corporate headquarters on customers, vendors, and orders as necessary, including credits and rebills in a timely and accurate manner.
  • Resolve customer discrepancies quickly and independently, using de-escalation techniques to ensure a positive and satisfactory outcome.
  • Assist with mass customer mailings and promotions
  • Assist with customer promo items such as caps, pens, and other freebies.
  • Responsible for general office operations including:
    • Answer and route incoming telephone calls.
    • Ensure filing systems are up to date and all relevant documents are scanned and archived.
    • Coordinate and maintain the appropriate level of inventory for office supplies, brochures, and promotional items.
    • Assist with company protocols and on site procedures and implementation to employees.
  • Perform other duties or special projects as requested by management.
Education and Experience
  • A high school diploma or GED equivalent is required.
  • Bachelor’s degree preferred.
  • Minimum of two (2) years of customer service, freight, and/or administrative support experience.
  • Knowledge of outbound shipping and scheduling procedures.
Skills
  • Demonstrated proficiency with Microsoft Office Suite and/or Google Docs (Word, Outlook, Excel, Power Point, and Access).
  • Strong oral, written and interpersonal skills.
  • Strong organizational skills with an attention to detail.
  • Self-motivated and able to work independently.
  • Self-starter with strong initiative.
  • Collaborative team player.

Physical Requirments
  • Frequently required to: sit for prolonged periods of time, reach for/manipulate standard office equipment, communicate with various staff and/or reach for and manipulate objects.
  • Regularly moves items weighing up to 10 pounds, and occasionally up to 25 pounds.
Environment
  • Regularly exposed to work near moving mechanical parts.
  • Occasionally exposed to dusty and noisy conditions.
  • Occasionally exposed to chemicals used in the manufacturing process.
