Job SummaryWe are recruiting a practice administrator for a busy practice team. Hours Mon‑Fri, 8/8.30am start, with flexibility to cover extra hours. Experience in secretarial/administration and excellent IT skills required. Knowledge of Primary Care IT systems (EMISweb/Docman) an advantage but training provided. Good time management, organisation and patient confidentiality essential. Team oriented, flexible, sense of humour. Learning and development support available.
Main Duties- Efficient copy typing and word processing for GPs and health professionals.
- Assist in managing referrals to secondary care using e‑referral service.
- Clerical and administrative support for practice manager/deputy practice manager.
- Make appointments, bookings, admissions using manual and electronic software.
- Maintain filing and administrative systems for secure access.
- Retrieve medical records and assist in medical/insurance reports.
- File patient records and correspondence in patient medical records.
- Handle telephone calls and messages for timely communication.
- Maintain computer clinic system accurately and securely.
- Receive and dispatch mail, manage pending system.
- Scan letters and correspondence into patient accurately.
- Extract data from clinical correspondence into Electronic Patient Record.
- Read coding information into the practice clinical system.
- Monitor Quality and Outcomes Framework achievements and utilisation of patient call and recall systems.
- Assist with gathering statistics and information as required.
- Cover team members during sickness and annual leave.
- Maintain adequate supplies of office stationery.
- General education to GCSE level or equivalent.
- Working knowledge of Microsoft Office – Word, Excel, Outlook.
- GCSE or equivalent English and Maths.
- Medical terminology qualification/experience.
- Audio typing qualification.
- Working knowledge of EMIS GP clinical system.
- Working knowledge of Choose and Book system.
- Medical Secretarial experience.
- Previous GP or NHS environment experience.
- Good communication skills, interpersonal skills.
- Good written communication skills.
- Excellent telephone manner.
- Well organised and accurate administrative approach.
- Ability to cope under pressure, prioritise work daily.
- Strict confidentiality acceptance and adherence.
- Calm and pleasant manner.
- Self‑confident, recognised work under gentle leadership.
- Self‑motivated, sensitive to others.
- Reliable.
