The Role:
Executive Assistant to the COO
You'll support our COO by managing the day-to-day logistics that keep leadership effective. This isn't about fetching coffee-it's about learning what matters most, protecting time for important work, and making sure nothing falls through the cracks.
Your Mission:
Inbox Management - Help manage the COO's inbox. You'll learn to triage messages, respond to straightforward requests, flag what needs attention, and keep things organized. We'll teach you what to prioritize.
Calendar Management - Manage the COO's schedule thoughtfully. You'll learn their preferences (morning vs. afternoon meetings, when they need focus time, what's non-negotiable) and schedule accordingly. It's less about just filling time slots and more about creating productive days.
Time & Energy Protection - Act as a friendly gatekeeper. You'll learn what deserves the COO's time and what can be handled another way. Over time, you'll get comfortable making these judgment calls on your own.
Stay Organized - Keep everything running smoothly. Track action items, follow up on outstanding requests, maintain filing systems, and help keep processes documented. When you notice something could work better, speak up.
Be the Communication Hub - You'll interact with our sales team, customers, vendors, and exec team. You're representing leadership, so you need to be responsive, professional, and genuinely kind. People should feel good about working with you.
Think Ahead - The best support isn't just reactive-it's proactive. As you learn the rhythm of the business, you'll start anticipating what's needed before you're asked.
What It Takes:
You're naturally organized. You like things tidy, structured, and running smoothly. Lists and calendars make you happy, not anxious.
You have some experience. Whether it's 1-3 years as an EA, admin, office manager, or in a similar support role-you understand the basics of managing schedules, inboxes, and professional communication.
You're detail-oriented. Typos bug you. You double-check things. You catch small mistakes before they become big problems.
You're comfortable with technology. You can navigate Google Workspace (Gmail, Calendar, Drive), Slack, and basic tools. If you don't know something, you figure it out quickly.
You have good instincts. You can read a situation and know what's important. You understand tone and know when to escalate something vs. handle it yourself.
You're eager to learn. This role will teach you a lot about how a fast-growing company operates. You're excited about that, not intimidated by it.
You're a team player. You're warm, easy to communicate with, and genuinely enjoy helping people. No one should feel like you're annoyed by their requests.
You're adaptable. Startups are unpredictable. Priorities change. Plans shift. You can roll with it without getting flustered.
