CHARACTERISTICS OF THE CLASS

Under the general guidance of the Hernando County Animal Services Director, the Volunteer Assistant is responsible for the management of the Animal Services volunteers. This position is responsible for recruiting, training, orientating, supervising, coordinating, managing, supporting, tracking, and evaluating all Animal Services volunteers and Court Ordered Community Services workers.

ESSENTIAL JOB FUNCTIONS
  • Serve as the primary contact for existing and potential volunteers for Animal Services.
  • Identify and schedule volunteers to fulfill Animal Services weekly assigned shifts, program needs, special projects, and special events.
  • Assign volunteers with opportunities that match skills and interests.
  • Ensure volunteers are given appropriate training to be successful in assignments. Orient volunteers to increase understanding of Animal Services, the services provided, and volunteer roles and responsibilities.
  • Collaborate with staff, volunteer team leaders, and trainers to schedule specialized training.
  • Assist with organizing formal and informal volunteer appreciation efforts (awards, celebrations, etc.).
  • Assist with conflict resolution among staff and volunteers according to established policies and procedures.
  • Ensure a safe, healthy, and supportive work environment in accordance with Hernando County Sheriff and Animal Services’ policies and procedures.
  • Create, maintain, and update volunteer program materials such as a handbook, job description, orientation materials, trainings, and newsletters, as needed.
  • Maintain accurate and timely volunteer records, manage Animal Services database, and track and report volunteer statistics monthly.
  • Maintain positive relationships with community partners and organizations.
  • Prepare monthly newsletter and/or emails to provide necessary information about events, programs, and general needs.
  • Work collaboratively with agency members to maximize the use of agency website and social media platforms for volunteer recruitment and the promotion of volunteer activities and events.
  • Carry out other special projects and assignments as needed.
QUALIFICATIONS

A. Training and Experience
  • High school diploma, GED, or equivalent.
  • One (1) to two (2) years of experience working with volunteers, preferred. Experience may include leading, training, or supervising other volunteers as a volunteer.
  • Animal welfare experience preferred.
  • State of Florida Department of Corrections certification as a non-department supervisor to transport and supervise inmates while on Animal Services property (certification can be obtained post-hire; willingness and ability to obtain certification is required)
  • Valid Florida drivers license with access to reliable transportation
B. Knowledge, Skills, and Abilities
  • Ability to work flexible hours, which will include some nights and weekends.
  • Knowledge of general office practices such as computer input and retrieval, form letters, general correspondence, calculations, telephone, fax, and copy machines.
  • Ability to clearly speak, understand, read, and legibly write in English.
  • Knowledge of current technology and trends of communication.
  • Ability to coordinate programs and direct volunteers as necessary.
  • Ability to multitask and work in a busy office environment.
  • Ability to demonstrate exemplary customer service skills.
  • Ability to interact tactfully with members of the community.
ESSENTIAL PHYSICAL SKILLS
  • Ability to sit or stand for long periods of time.
  • Acceptable eyesight (with or without correction).
