Job Description

Responsible for providing administrative support to a senior level leader or to an organizational function within the company.

Key Accountabilities:

  • Coordinate, compile and edit reports and presentations and attend meetings with senior leadership and board members.
  • Generate and maintain highly confidential files, records, and reports.
  • Maintain calendars, schedule appointments and meetings; coordinate travel arrangements; reconcile expense records; process invoices and disbursements; handle telephone requests and respond to inquiries.
  • Prepare reports, including basic research, preliminary recommendations and suggested conclusions; work with the Director to finalize and formalize reports; create and maintain tracking logs and monthly status reports; research, compile, and extract information for meetings and projects; prepare agendas.
  • Provide logistical and planning support for functional meetings, workshops, monthly calls, department meetings and other group meetings; prepare agendas and meeting materials; compile outputs and reports; coordinate travel and dining information; participate on-site for applicable meetings.
  • Apply functional and business knowledge to compose internal communications and external correspondence from rough notes; handle telephone requests and respond to inquiries.
  • Use advanced specialty software applications to create and maintain support tools including intranet pages, hyperlinks, surveys, report summaries, PowerPoint presentations, training materials and forms.
  • Broad knowledge of company operations, policies and procedures; knowledge of advanced secretarial procedures and executive protocol.

Experience:

  • 5 to 7 years of secretarial experience supporting senior leadership and teams.

Education:

  • High School Degree or GED with administrative training required;
    Associate's Degree in business or related field preferred.

Required Skills:

  • Microsoft Word, Excel, Email; SAP experience preferred.
