Responsibilities
  • Process vendor invoices daily and research to ensure it corresponds to quotes.
  • Prepare and process subcontractor’s time for payment processing.
  • Ensure payments are accurate, efficient, and processed in a timely manner.
  • Review and reconcile vendor statements.
  • Issue and approve the purchase order in the database.
  • Communicate directly with vendors to address billing issues and discrepancies.
  • Maintain vendor information and account.
  • Prepare and file 1099 year‑end payments.
  • Assist with month‑end and year‑end close process.
  • Prepare and update the financial dashboard monthly.
  • Accounts Receivable collections and additional accounting duties as needed.
  • Coordinate with project managers in preparation of monthly AIA billings and process billing correspondence according to project deadline schedules.
  • Prepare the Budget and Schedule of Values report for contract projects to support and track progress payment applications.
  • Create and assign job numbers for contract jobs.
  • Pull an inspection permit as needed on projects.
  • Prepare documents for project close‑out.
  • Maintain the vendor and subcontractor’s Certificate of Insurance.
  • Assist with incoming phone calls.
