Our client is a midsize manufacturing company currently expanding its team and looking to bring on a Senior Administrative Coordinator.

Position Overview

The Senior Administrative Coordinator plays a critical role in ensuring the smooth day-to-day operations of the office while providing high-level administrative support to leadership and staff. This position is responsible for managing office functions, coordinating administrative processes, and serving as the central point of contact for internal and external stakeholders. The ideal candidate is organized, detail-oriented, proactive, and able to balance multiple priorities in a fast-paced environment.

Responsibilities
  • Oversee general office operations, including supplies, equipment, and vendor management.
  • Manage calendars, schedule meetings, and coordinate travel arrangements for executives or team members.
  • Manage the order entry process, tracking purchase orders, and flagging delays.
  • Maintain inventory for the IT department.
  • Serve as the first point of contact for phone calls, visitors, and inquiries, ensuring a professional and welcoming office environment.
  • Prepare, proofread, and distribute correspondence, reports, and presentations.
  • Maintain and organize both electronic and physical filing systems.
  • Support HR and finance functions, such as onboarding, timesheets, expense reporting, and invoice processing.
  • Coordinate company meetings, events, and team-building activities.
  • Ensure compliance with office policies, procedures, and health and safety regulations.
  • Provide general administrative support to staff and executives as needed.
Required Experience/Skills
  • Proven experience as an Administrative Assistant, Office Manager, or in a similar administrative role.
  • Experience with SAP.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or similar productivity tools.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills and a customer-service mindset.
Education Requirements
  • Bachelor's degree is preferred.
