Location:

Central London, hybrid (high flexibility with on site attendance)

Contract:

Temporary, 3 months (with a view to become permanent)

Hours:

Part-time, 20 hours over 5 days per week Pay: £19.18 per hour ( £2.32 holiday pay)

ASAP Prospectus is delighted to be supporting our client, a well-established policy organisation, in the search for a temporary Office Manager , with the opportunity to transition into a permanent role. This role provides an exciting opportunity for an proactive and organised professional to provide dynamic and varied support across an impactful organisation.

Key Responsibilities:

Act as the first point of contact for enquiries, managing communications, correspondence, and administrative support across the organisation. Provide comprehensive support to the CEO, including diary management, meeting and travel coordination, expense processing, and document preparation. Maintain accurate records and databases, ensuring key contact information remains up to date. Manage supplier and service provider relationships, processing invoices, payments, and financial documentation accurately and efficiently.

Support day-to-day financial administration, including expenses, cashbook management, banking, and payment tracking. Administer the training programme, preparing contracts, coordinating schedules, maintaining records, and ensuring timely invoicing and payment collection. Maintain training databases and provide regular financial reporting related to training activities. Support fundraising administration by tracking donations, processing acknowledgements, issuing receipts, and maintaining donor records. Coordinate and distribute newsletters and other communications to donors and wider stakeholder audiences.

Assist with the planning and delivery of events, including logistics, catering, transport, registrations, and on-the-day support.

Key Requirements:

Recent, relevant experience in a similar role within a not-for-profit organisation. High level of organisation and attention to detail, with the ability to manage competing priorities and deadlines. Excellent interpersonal and communication skills, with the confidence to build strong stakeholder relationships. Collaborative and proactive approach, with the capability to work both independently and in a team.
