Job Summary
We are seeking a seasoned Executive Assistant to support the President of Mills James. The ideal candidate will be a highly organized, detail‑oriented professional with experience working with C‑suite executives and exceptional discretion, maintaining strict confidentiality with all business matters. The Executive Assistant will manage the President’s schedule, draft written communications, coordinate meetings, and ensure smooth day‑to‑day operations.
- Schedule management – efficiently manage the President’s calendar, including meetings, appointments, and travel arrangements.
- Meeting coordination – prepare agendas, compile materials, and ensure timely communication and follow‑up. Attend meetings to take minutes and provide summaries.
- Organizational support – maintain a system for tracking tasks, projects, emails, and other communications; assist with prioritizing and managing daily activities.
- Confidentiality – handle sensitive information with the highest level of discretion; secure all business matters.
- Communication – serve as the primary point of contact for the internal administrative team; draft and manage email correspondence, reports, and presentations.
- Administrative tasks – perform general duties including filing, data entry, and support other executive team members as needed.
- Problem solving – anticipate the President’s needs and proactively address potential issues, providing solutions to improve efficiency.
- Minimum of three years experience as an Executive Assistant, preferably with C‑suite level executives.
- Bachelor’s degree in business administration, management, or related field preferred.
- Exceptional organizational and time‑management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High level of discretion and confidentiality.
- Ability to work independently and as part of a team.
- Excellent problem‑solving and decision‑making capabilities.
- Professional demeanor, proactive attitude, ability to thrive in a fast‑paced environment.
- Experience with property management is a plus.
