Police Support Services Clerk

The Hilliard Division of Police is seeking a problem solver who enjoys working in a fast-paced environment. This position requires multitasking while assisting the public and officers. The successful candidate must be able to communicate effectively, be self‑motivated, detail‑oriented, confident, and tech‑savvy.
Support Services operates 24 hours a day, 365 days a year, serving City of Hilliard Police Officers. The division has three shifts for coverage, which are bid on every year by seniority.
This position falls under the FOP/OLC union contract. The starting hourly pay for this position is $24.78 per hour ($51,542 annually). Subsequent wage steps are as follows:
- Step 1 (after 12 months of service): $26.23 per hour ($54,558 annually)
- Step 2 (after 12 months of service in Step
1): $28.20 per hour ($58,656 annually) - Step 3 (after 12 months of service in Step
2): $31.82 per hour ($66,185 annually)

Professionalism, Integrity, Cooperation, and Commitment. - Works with the Support Services Supervisor to ensure excellent customer service to all employees and community members.
- Answers telephone, responds to email, and assists the public with questions, complaints, and inquiries; takes accurate messages; refers to appropriate staff when necessary.
- Processes a variety of paperwork and forms; performs data entry into the Records Management System; validates information entered.
- Makes and maintains case files; processes sealed record orders; completes records checks and provides requested records.
- Maintains security and confidentiality of information created or encountered in performance of duties.
- Participates in training newly hired Police Support Services Clerks on proper job functions and department protocol.
- Operates specialized law enforcement computer systems; manages databases; communicates with officers and staff to retrieve necessary information.
- Ensures facility security, including monitoring video surveillance, reporting suspicious activity, allowing building access to the public, recording visitors, and controlling building access for police personnel.
- Uses technology such as computers, radio systems, telephones, copiers, and other equipment.
- Maintains proficiency in departmental policy, procedures, and regulations.
- Processes daily mail: receiving, sorting, and distributing.
- Receives monies and issues receipts.
- Completes related duties and responsibilities as directed by supervisory personnel.
- Two years of responsible clerical and/or customer service experience (law enforcement experience preferred).
- High School Diploma or GED equivalent.
- Certification as a Notary Public, or ability to obtain it.
- Certification of proficiency in specialized criminal justice computer applications.
- Valid State of Ohio Driver’s License with an acceptable driving record.
- Background free of felony convictions.
- Ability to set and adhere to priorities, multitask, and maintain high attention to detail.
- Knowledge of filing and record keeping principles; proper English usage, spelling, grammar, and punctuation.
- Basic computer knowledge:
Microsoft Word, Excel, Office, and modern office equipment. - Knowledge of municipal law enforcement operations (may be acquired on the job).
- Ability to learn and apply criminal and civil procedures, specialized software, department procedures, and applicable laws, codes, and regulations.
- Typing speed of 35 words per minute.
- Strong communication skills; ability to follow directions and work well as a team member and individually.
- Calm, effective demeanor when dealing with the public; ability to act quickly in emergencies.
- Ability to establish and maintain effective working relationships with those contacted in the course of work, and to observe situations analytically and relay details accurately.
Regular and punctual attendance is essential. Be compliant with training directives and adhere to all applicable federal and state safety laws, rules, and regulations, as well as City safety policies and procedures.
Physical Requirements- Must be able to operate a motor vehicle.
- Must be capable of sitting, standing, reaching, twisting, bending, walking, lifting, and kneeling as required.
- Must handle stress in emergency situations or exposure to hostile and/or aggressive individuals.
- Ability to occasionally lift and/or move up to 30 pounds.
The position supports 24/7/365 operations of the Division of Police. The work schedule is 40 hours per week plus overtime. Shift assignment is bid each year based on seniority. Applicants must be available to work an alternate schedule that may include weekends, holidays, and non‑first‑shift hours.
Shift Information- 1st Shift: 7 am – 3 pm
- 2nd Shift: 3 pm – 11 pm
- 3rd Shift: 11 pm – 7 am
