As a Utility Assistance Program Specialist, you will play a vital role in ensuring our community's most vulnerable residents receive the help they need. You will provide essential administrative and program-management support, ensuring that utility assistance is delivered equitably, accurately, and in full compliance with funding guidelines.
Responsibilities- Review application files to ensure they meet all funding requirements and program regulations. Approve files for payment and ensure timely processing of assistance from multiple sources.
- Identify error patterns in applications and provide feedback or training to intake staff to improve system efficiency.
- Support special projects (such as mail-out programs and benefits enrollment) and track internal program data to generate vital reports.
- Provide clerical support, including record-keeping, minute-taking, and managing contract routing. Maintain the program's Policy and Procedure Manual.
- Ensure program staff have the materials they need by managing office supply inventory, distribution, and equipment maintenance.
- Act as a key point of contact for clients, internal partners, and community organizations.
- High school diploma or equivalent with at least two years of related experience. (An equivalent combination of education and experience will be considered).
- Advanced proficiency in technology tools, specifically Microsoft Office (Excel formulas, tables, and charting) and database management.
- Exceptional accuracy in auditing files and managing complex data.
- Proven ability to work effectively with low-income, senior, disabled, and diverse populations.
- A strong ability to manage multiple tasks with competing priorities in a fast-paced environment.
- Excellent verbal and written communication skills with experience coordinating with social service agencies or other professionals.
- A commitment to maintaining high levels of confidentiality and adhering to the agency's code of ethics.
- Bilingual (English/Spanish) written and verbal skills are a significant plus.
