Position Summary

We are seeking a dedicated and detail-oriented Office Coordinator to join our team. This role supports daily operations, ensures exceptional service to customers, and assists in coordination between departments. The ideal candidate will have a proactive attitude, strong communication skills, and the flexibility to work varying shifts, including nights, weekends, and holidays.

Key Responsibilities
  • Assist the Director of Operations in day-to-day operations and/or special projects.
  • Manage the talent acquisition process, including recruitment, interviewing, hiring, and onboarding of qualified job applicants—especially for production, engineering, and driver roles—by collaborating with departmental managers to understand required skills and competencies.
  • Provide front-line customer service support to internal and external customers by responding promptly, professionally, and courteously to inquiries, concerns, or requests.
  • Serve as a point of contact for customer service-related issues, escalating matters to appropriate departments while ensuring timely resolution.
  • Monitor service levels and customer satisfaction, identify opportunities for improvement, and collaborate with relevant teams to enhance service delivery.
  • Support plant operations through timely completion of required paperwork and/or reports.
  • Responsible for completing and submitting purchase requisitions.
  • Distribute proper PPE to employees as required by department guidelines.
  • Maintain all manifest/back-up and production documentation.
  • Perform general clerical and office duties, including data entry, filing, scanning, photocopying, handling mail, managing office supplies, and maintaining organized work spaces.
Qualifications
  • Bachelor’s degree in business administration or a related field required.
  • Minimum of three years of experience in office management, human resources, or administrative support roles, with emphasis on coordinating day-to-day office operations.
  • Proven experience in employee lifecycle management including hiring, onboarding, and training coordination.
  • Excellent interpersonal and verbal communication skills, with the ability to interact effectively across all levels of the organization.
  • Strong organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • High attention to detail and accuracy in managing records, documentation, and administrative processes.
  • Proficient in office software (e.g., Microsoft Office Suite) and comfortable working with HRIS or other administrative systems.
Physical Demands
  • Primary work in an office/production environment.
  • Ability to move within the workspace, sit for extended periods, and respond to verbal and written cues.
  • Manual dexterity to operate standard office and production equipment.
  • Ability to bend, reach, and lift up to 25 lbs.
