Job DescriptionAECOM is seeking an Administrative Assistant to help organize a fast moving federal facility assessment and hurricane recovery effort in Kauai, Hawaii. Engineers and construction teams may be documenting building damage, coordinating emergency weatherproofing and drying, and planning utility and facility repairs at several sites. You will keep meetings, records, travel details, reports, and action items in order while priorities evolve.
Your attention to detail will help field teams communicate clearly, meet deadlines, and maintain reliable project documentation during both immediate response and longer term repair work.
This role will require an onsite presence in Kauai, Hawaii and is eligible for per diem related expenses when appropriate.
Key Responsibilities- Coordinate meetings, calendars, site visits, travel details, and team communications.
- Maintain organized project files, correspondence, meeting notes, and action item logs.
- Prepare and format reports, presentations, spreadsheets, and routine project documents.
- Assist with onboarding, timesheets, expense documentation, and administrative tracking.
- Route incoming requests and help track deliverables, approvals, and deadlines.
- Handle sensitive project information with accuracy and discretion.
- High school diploma or equivalent and 2+ years of administrative support for construction, engineering, or field operations teams or demonstrated equivalency of experience and/or education.
- A valid driver’s license is required, along with the ability to pass a Motor Vehicle Records (MVR) check in accordance with company policy.
- Due to the nature of the work, US Citizenship is required.
Preferred Qualifications
- 4+ years of administrative support for construction, engineering, or field operations teams.
- Experience supporting federal projects, construction teams, or emergency response operations.
- Proficiency with Microsoft Word, Excel, Outlook, and Teams.
