Job Description

The East Hawaii Region of Hawaii Health Systems Corporation is a leading healthcare provider on the Big Island of Hawaii, dedicated to delivering high-quality patient care. We are embarking on a major initiative to implement Epic, a premier electronic health record (EHR) system, across our network. East Hawaii Medical Group is seeking a skilled EHR Training Manager to join our dynamic team.

East Hawaii Medical Group is a diverse provider group of over 100 physicians and advanced practice providers, representing various specialties in our hospitals and outpatient clinics. We also manage the Hawaii Island Family Medicine Residency program, training new family medicine physicians.

This position requires a highly motivated and detail-oriented person who will manage multiple areas and staff related to the Epic Training program in the East Hawaii Region. The employee will collaborate with operations and IT to ensure training, workflow adoption, adherence, and satisfaction in their area. They are experts in workflows and how staff should interact with each other and Epic to accomplish training goals most efficiently.

Training Manager will also lead projects and address complex support requests.

Essential Job Functions
  • Oversee the management of Continuing Educators and EHR Analysts, focusing on EHR education and driving process improvement initiatives
  • Assist with the oversight and project management of EHR updates, including but not limited to using complex tracking tools, setting and meeting upgrade deadlines, and maintaining Gold Standard metrics
  • Planning, executing, and maintaining a successful employee onboarding Epic training program
  • Ensuring new staff and transfers have appropriate Epic training tracks assigned
  • Working with Super Users, Clinical Informatics, Leadership, and others to ensure that productivity and proficiency metrics based on system usage are reviewed and staff are leveraging appropriate advanced training opportunities on an ongoing basis
  • Working with analysts and super user leads to ensure key changes are communicated to end users prior to upgrades
  • Review and approve creation of organization-specific tip sheets and supplemental training materials
  • Identify workflows that need training reinforcement
  • Use productivity data to identify staff that need retraining or 1:1 help
  • Develop and improve role and department onboarding
  • Help managers communicate operational and policy changes
  • Serve as a resource for managers and users
  • Coordinate upgrade communication
  • Share user feedback with IT
System Analysis and Support
  • Analyze, design, implement, and support Epic systems and applications
  • Troubleshoot and resolve technical issues related to Epic applications
  • Perform regular system maintenance, updates, and upgrades
Training and Documentation
  • Oversee developing and delivering training programs on the Epic system, ensuring proficiency and adherence to best practices
  • Provide ongoing support to continuing educators, analyst, and end-users on Epic applications
  • Create and maintain detailed documentation, including system configurations, process workflows, and training materials
  • Generate and analyze reports to monitor system performance and identify areas for improvement
Project Management
  • Lead and participate in project planning, implementation, and post-implementation support
  • Coordinate with cross-functional teams to ensure timely project milestones
  • Provide leadership for EHR initiatives and support
Compliance and Security
  • Ensure compliance with healthcare regulations, including HIPAA and data protection standards
  • Implement and monitor security protocols to safeguard patient information
System Optimization
  • Collaborate with all levels and areas of staff that use Epic to understand workflow requirements
  • Identify opportunities for system optimization and workflow improvements to enhance efficiency and patient care
Collaboration and Communication
  • Act as a liaison to ensure effective communication and collaboration
  • Participate in interdisciplinary meetings and committees to represent Epic applications in system-related discussions
