Executive Assistant

Responsibilities
  • Heavy calendar management and ability to prioritize activities by understanding business needs.
  • Make travel arrangements and handle expense reports.
  • Assist in coordinating management meetings, offsites, customer meetings, client events, etc.
  • Facilitate smooth communication between the COO and the Executive Leadership team.
  • Screen and prioritize incoming calls, email and correspondence, responding if appropriate.
  • Draft and polish presentations and critical correspondence.
  • Assist in tracking key projects and deliverables to ensure timely completion.
  • Special projects including research and reporting.
Qualifications
  • Proven experience supporting senior executives in a large multi-national organization.
  • Ability to work in a fast moving, dynamic environment and quickly shift gears as priorities change.
  • Quick study, proactive and proven success in ability to understand the business.
  • Strong interpersonal skills and ability to interact with both internal and external contacts with professionalism and tact.
  • Strong organizational and computer skills (Outlook, MS Word, Excel, Teams, Sharepoint and PowerPoint required).
  • Excellent communication (written/presentation) skills and high energy.
  • Work independently, with multiple priorities in a fast‑paced environment.
  • Proactive and customer‑focused.
  • Proven ability to always think “one step ahead.”
  • Flexible and able to act under pressure with minimal guidance and feedback.
  • 5+ years in a similar role.
  • Ability to maintain strict confidentiality.
