Job Overview

We are looking for a highly organized and experienced Office Manager to oversee daily operations,

streamline processes, and ensure seamless coordination of our fast-paced painting projects. The ideal

candidate is a self-starter with a proven track record of developing and implementing new systems,

exceptional multitasking abilities, and a strong commitment to honesty, loyalty, and integrity.

Key Responsibilities:

Manage day-to-day office operations, including scheduling, correspondence, and client

communications.

Work with Admin & Sales to develop new systems and processes for company

Maintain client relationships, ensuring exceptional service, repeat business & referrals.

Collaborate with marketing and sales teams to support business growth and customer retention.

Conduct weekly meetings with Managers to review projects, processes and address issues.

Assist in Implementing new systems with crews in field

Setup & Close out projects, invoicing payments & ensure customer satisfaction

Schedule, manage & invoice for change orders & carpentry

Coordinate and schedule fast-paced painting jobs, ensuring timely completion and resource

allocation.

Develop & implement SOP's for all projects

Develop and implement efficient systems to improve workflow, project tracking, and office

productivity.

Maintain accurate records, including invoices, contracts, and employee schedules, using

Microsoft Office Suite and Mac-based software.

Handle phone calls, emails, and inquiries with professionalism and attention to detail.

Collaborate with sales, project managers and field teams to ensure smooth execution of jobs.

Oversee inventory, order supplies, and manage vendor relationships.

Adapt to changing priorities and handle multiple tasks in a high-energy environment.

Uphold company values of honesty, loyalty, and integrity in all interactions.

Qualifications:

Minimum 5 years of experience as an Office Manager, preferably in a construction, contracting,

or service-based industry.

Proven history of developing and implementing new systems to enhance operational efficiency.

Strong knowledge of Mac operating systems and Microsoft Office Suite (Word, Excel, Outlook,

PowerPoint).

Proficiency in Quick Books for managing financial records and reporting.

Demonstrated ability to manage and process expense reports accurately.

Exceptional organizational skills and ability to multitask in a fast-paced environment.

Demonstrated ability to adapt to changing situations and prioritize effectively.

Problem-Solving:
Quick thinker who can address challenges like seasonal slowdowns, weather

related schedule changes.

Experience scheduling and coordinating fast-paced jobs, with a focus on meeting deadlines.

Self-starter with excellent problem-solving skills and initiative.

Unwavering commitment to honesty, loyalty, and integrity core values of Full Circle Painting.

Excellent communication skills, both written and verbal.

Knowledge of Social Media platforms (Facebook, Instagram, twitter etc) a bonus.

Compensation:
