We have an exciting new opportunity for someone to join us as a Patient Administrator.
Working under the Governance Manager, you will support our Patient Services, Secretarial and Clinical Administration teams with a range of administrative duties related to patient care.
You will play a vital role in helping our administrative teams manage their workflow by assisting with appointments, referrals, and processing tasks and correspondence.
Please note, interviews are to be held week commencing 6th July 2026.
Main duties of the job- Patient Services support, completing administrative tasks under management direction and supervision
- Clinical Administration support, summarising and read coding correspondence without reference
- Secretarial support, making referrals from clinician instruction
You will maintain confidentiality at all times, ensuring that all relevant legislation, policy and guidance is followed.
You will maintain records of summarising and coding activity to support QOF and enhanced service reporting.

- Assist with supporting a safe patient deductions process, to include ensuring clinical notes are up-to-date and accurate prior to transfer
- Assist with processing and completing tasks within the clinical system

- Support document workflow management by processing letters and coding incoming correspondence within the clinical system
- Communicate with clinical and non-clinical colleagues to clarify actions required on documents
- Handle incoming patient notes, to include summarising medical histories
- Provide cover support as needs arise
- Assist with 2ww (2 week wait), urgent and routine referrals, to include word processing and audio typing
- Liaise with patients regarding appointments and referrals
- Assist with processing and completing tasks within the clinical system
- Assist with private work
- Provide cover support as needs arise
- GCSE grade A to C or equivalent English & Maths
- NVQ Level 2 or 3 in Business Administration or similar
- Trained in clinical coding i.e. SNOMED/QOF
- Willingness to undertake training relevant to the role
- Speaking directly with customers or patients over the telephone
- Working in an office environment
- Accurate data entry and record keeping
- Working in an administrative role that includes computerised records and/or document handling
- Working in a pressurised environment with differing or conflicting priorities
- Working in Healthcare / Primary Care / GP Practice setting
- Experience in a Clinical PA, Medical Secretary or similar support role Experience audio typing
- Experience using Systm One
- Experience summarising notes
- Excellent administrative and organisational skills
- Good IT skills including the Microsoft Office suite
- Understanding of confidentiality
- Strong interpersonal and communication skills
- Ability to work collaboratively with teams
- Ability to work independently
- Ability to follow procedures
- Knowledge of coding or medical terminology
- Understanding of QOF and clinical workflow in the NHS
- Understanding of NHS referral processes and SWW pathways
