Position

Summary

Duties of the Administrative Assistant include providing support to managers and employees, assisting in daily office needs and managing the company’s general administrative activities. Responsibilities include meeting arrangements, preparing reports, and maintaining appropriate filing systems.

Essential Responsibilities
  • Provide excellent customer service to residents within the community by answering and directing phone calls, emails, and other correspondence.
  • Address unit owners' inquiries via phone, email, or in person.
  • Help process purchases and lease applications.
  • Check in clubhouse guests (if applicable).
  • Check in vendors who come onto the property.
  • Update Owners/Tenants in Directory or any information as needed.
  • Ability to access and accurately input information using a computer system.
  • Perform tasks assigned by management with excellent verbal, comprehension, listening, and problem-solving skills.
  • Maintain a clean and organized workspace and provide general task assistance.
  • Courier requests, return and distribute mail.
  • Maintain and organize files and records.
  • Schedule appointments and meetings.
  • Prepare reports, memos, and other documents.
  • Assist with event planning and coordination.
  • Manage office supplies and inventory.
  • Provide support to other staff members as needed.
Requirements
  • Weekend availability required.
  • Schedule:

    Monday OFF, Tuesday 1 pm–8 pm, Wednesday 12 pm–8 pm, Thursday 8 am–2 pm, Friday 1 pm–8 pm, Saturday 8 am–8 pm, Sunday OFF (total 40 hours).
  • Salary: $19 per hour.
  • Education/Training/Certifications/Licenses:
    High school diploma/GED equivalent required.
  • Skills:

    Excellent interpersonal abilities; experience in Property Management, Condo/HOA Law or Real Estate preferred; familiarity with Architectural Modification processing; strong administrative support; hospitality industry experience a plus; confidentiality.
  • Time management skills.
Language and Additional Requirements
  • Language:
    Bilingual is desirable.
  • Requires a minimum of two years in customer service in hospitality or a similar field.
  • Excellent oral and written communication with interpersonal skills.
  • Empathy and friendly phone manners; ability to work with computer hardware/software.
  • Strong organizational skills and ability to multitask.
  • Ability to stand and move throughout the office and perform essential job functions with or without reasonable accommodations.
