Job Overview

The Project Assistant will provide administrative support for State assessment projects.

Job Location

This person will be working at the Honolulu, HI Cambium Office.

Job Responsibilities
  • Provides general administrative support.
  • Schedules meetings and maintains calendars.
  • Develops and maintains efficient filing and tracking system for the projects.
  • Prepares meeting agendas including gathering discussion topics, drafting, and circulating and finalizing agenda.
  • Provides meeting support, including the following:
    • Selecting venues including contracting with caterers, audio‑visual teams and transportation.
    • Drafting and sending out meeting invitations.
    • Managing logistics including arranging travel, lodging and parking.
    • Overseeing the meeting by making sure the meeting room is set‑up correctly, handling unexpected issues and ensuring the meeting runs smoothly.
  • Prepares meeting expense vouchers, travel reimbursements and invoices and submits to CBO.
  • Assists with production and assembly of reports, presentations, and meeting materials.
  • Performs general office tasks including photocopying, faxing, phone calls, e‑mail, Federal Express.
  • Works with web‑based documentation system.
  • Other duties as assigned.
Job Requirements
  • Bachelor’s degree preferred.
  • Excellent verbal and written communications skills.
  • Flexibility and ability to consistently meet deadlines.
  • Ability to work independently as well as part of a team.
  • Acute attention to detail and strong work ethic.
