Introduction

Native Hawaiian Career & Technical Education Program (NHCTEP) is responsible for providing support to ensure Native Hawaiian students who are pursuing degrees in Career Technical Education (CTE) programs to both graduate and find employment in their chosen fields. The Student Services Specialist is responsible for supporting the Kulia ma Kapi‘olani Project Coordinator, in coordinating the NHCTE program and working collaboratively with other APT and faculty employees who support Native Hawaiian student participation and success in CTE programs.

This position provides direct support to the student beneficiaries and is critical to meeting grant reporting requirements for the U.S. Department of Education Native Hawaiian CTE Program.

Duties and Responsibilities

  • Provides administrative assistance to the Project Coordinator through direct student support, correspondence, record keeping, file maintenance, scheduling meetings, monitoring office supplies, managing activity and events calendar, and overall office organization.
  • * Assists with grant development, implementation, and evaluation, including supporting the preparation and submission of applications, drafting budgets and narratives, and conducting research on grant objectives.
  • * Develops and maintains databases for program activities such as curriculum, student recruitment, enrollment, graduation, and attrition.
  • Assists in analyzing and interpreting data to generate reports for evaluations and presentations.
  • * In consultation with the Project Coordinator, helps organize and plan meetings, conferences, workshops, and training events, including developing agendas, identifying stakeholders, and managing registration.
  • * Supports student outreach and recruitment efforts through program activities such as information sessions, career fairs, and community events.
  • * Provides support by preparing correspondence, project management timelines, progress reports, and presentation materials; assists in gathering and analyzing information for the Project Coordinator.
  • Assists in fiscal and procurement related program activities, including preparing and processing purchase orders, payments, travel requests, contracts, stipends, and related documentation in compliance with agency, federal, state, and UH policies.
  • Supports monitoring of project budget information, expenditures, and financial statements.
  • Assists with the creation of financial spreadsheets, audits, reconciliations, and monthly invoices to ensure compliance with funding agency requirements.
  • Helps track and prepare documents related to funding and account NTE dates, changes, and extensions.
  • Provides assistance in monitoring financial data within KFS and RCUH systems to support compliance with OMB Uniform Guidance and sponsoring agency requirements (Alu Like, Inc. and U.S. Department of Education).
