POSITION: GFO Office Manager

REPORTS TO:

GFO General Manager

FLSA:
Exempt (Non-Union)

POSITION SUMMARY:

The GFO Office Manager is responsible for supervising two Coordinators and one part-time Coordinator, managing the Department’s financial and administrative activities, and overseeing Coordinators’ daily activities.

ESSENTIAL DUTIES:
  • Supervise Coordinators’ work performance. Monitor and manage Coordinators’ personnel activities and adherence to Company policies and procedures, such as attendance, disciplinary action, scheduling, vacation requests, sick calls, etc.
  • Manages Department’s financial activities, which includes, but are not limited to, analyzing and reviewing financial statements, processing cash receipts, managing petty cash, reviewing and reconciling expenditures, and assisting with accounts receivable. Also assists the Department Manager with execution and attainment of financial projections by evaluating the Department’s costs and making recommendations for the Department’s services rates to increase profitability.
  • Oversees Department’s daily administrative functions, i.e., reviewing invoices, billing entries, and delivery reconciliation. Serves as back-up assistance for Coordinators by providing additional customer service, which includes, but is not limited to, quoting services, creating job orders, answering phone and email inquiries, and researching and resolving customer requests, issues and billing.
  • Performs other duties as directed by the GFO General Manager.
REQUIRED QUALIFICATIONS:

Education:
  • Possess an Associate’s Degree and 3 years of Management/Supervisory experience;
  • Or 5 years of Management/Supervisory experience
Experience/Skills/Knowledge:
  • Have excellent service experience
  • Be proficient with software applications:
    • MS Word, Excel, Outlook, Internet Explorer
  • Be organized, detail-oriented, and able to multi-task
  • Possess strong interpersonal skills in dealing with all levels of employees, vendors and clients:
    • Ability to persuade and negotiate terms with staff, vendors and clients
    • Ability to deal with frustrated customers to remedy concerns
  • Possess excellent decision-making skills with quick responsiveness to customers
PREFERRED QUALIFICATIONS:

Education:
  • Possess a Bachelor’s in Science or Administration
Experience/Skills/Knowledge:
  • Have a general understanding of business practices, strategic planning, budget analysis and/or HR principles
  • Have exposure to freight/transportation industry
  • Have strong mathematical/analytical/financial skills
MENTAL/PHYSICAL/COMMUNICATION REQUIREMENTS:
  • Required to complete multiple priorities with time-sensitive deadlines
  • Apply logic and reasoning to solve complex and analytical problems
  • Use sound judgment and discretion in performing work duties and working cooperatively with others
  • Requires excellent oral and written communication skills
  • Must understand and carry out written and oral instructions
  • Requires long periods of sitting at a desk, speaking with various individuals, frequent use of computers and other clerical equipment.
WORKING CONDITIONS:
  • Indoors; air-conditioned office
NORMAL

WORK HOURS:
  • Monday – Friday, 7 a.m. – 4 p.m.
  • May require working overtime, on the weekends and holidays per direction of GFO General Manager
GUIDELINES:
  • Follows and adheres to all internal policies and procedures, House and Safety Rules, and any employee policy guidelines if applicable
  • Execute goals and direction provided by GFO General Manager
