The Travel Office Supervisor oversees all aspects of travel coordination and traveler support for Sofidel America. This position manages travel requests for employees nationwide, ensuring policy compliance, cost efficiency, and a seamless travel experience. The role requires strong organizational and vendor management skills, effective cross‑department collaboration, and the ability to provide consistent, high‑quality support in a fast‑paced environment.
Key Responsibilities- Manage all domestic travel bookings and occasional international travel coordination
- Serve as the primary point of contact for travelers and approvers, ensuring timely, accurate, and cost‑effective itineraries
- Oversee company travel policy, approvals, and exceptions; recommend improvements based on travel data and employee feedback
- Monitor travel alerts and coordinate any necessary rebooking or assistance to ensure employee safety and minimize disruptions
- Negotiate or assist in negotiations with airlines, hotels, and car rental partners to secure favorable rates and service levels
- Maintain records, traveler profiles, and billing information accurate and up to date; verify and reconcile expenses
- Prepare regular reports on travel costs, savings, and policy compliance; share key insights with management
- Provide employees with pre‑trip guidance and documentation support, including travel requirements
- Supervise reception and travel office staff in daily operations, establish priorities, ensure service quality, and provide support to coordinators as needed
- Oversee reception operations, including visitor management, call handling, mail distribution, and meeting room coordination
- Serve as the primary point of contact for escalated issues at the front office or administrative level
- Manage schedules and coverage to ensure consistent front‑desk service
- Bachelor’s degree in business administration, hospitality, or a related field preferred
- Minimum of 3 years of experience in corporate travel operations with hands‑on booking for air, hotel, and car rental
- Strong understanding of travel policy administration, compliance, and duty‑of‑care standards
- Proficiency with travel and expense management systems; knowledge of GDS or agency platforms preferred
- Excellent negotiation, vendor management, and problem‑solving skills
- Strong interpersonal and communication skills with a customer‑service focus
- Prior experience leading or supervising a small team preferred
