Job Overview

The Accounts Payable Coordinator will manage Accounts Payable functions, including recording bills, categorizing expenses, tracking job and inventory costs, and maintaining accurate records. The role ensures timely payments, accurate invoicing, and effective communication with vendors and internal stakeholders.

Responsibilities
  • Record all bills, categorize expenses into appropriate accounts, and track costs for jobs and inventory items.
  • Process checks for all payables and submit A/P aging report to the President and/or CFO by Wednesday morning.
  • Review invoice accuracy and liaise with vendors and colleagues for necessary corrections or modifications.
  • Process employee expense reports promptly and ensure accurate documentation for all payments.
  • Organize and file invoices and checks to maintain accurate accounting records.
  • Address vendor inquiries regarding past‑due invoices promptly.
  • Establish and maintain a bill approval process to ensure timely vendor payments.
  • Communicate with customers via calls or mail as needed to update accounts.
  • Attend training sessions as required.
  • Perform all other duties as assigned.

Education
  • High school diploma or GED required.
  • Bachelor’s degree (B.A.) in Business, Finance, or Accounting from a four‑year college or university preferred.
Certifications & Licenses
  • No certifications or licenses required for this role.
Experience
  • 2‑5 years of related experience with Accounts Payable and bookkeeping.
  • Experience with Quick Books is required.
Talents
  • Knowledge of basic accounting principles.
  • Strong technical accounting skills and knowledge of federal and state regulations, finance, accounting, budgeting, cost control principles including Generally Accepted Accounting Principles, and auditing and regulatory reporting.
  • Strong computer skills (MS Excel, Word, Outlook, Sales Force, etc.).
  • Ability to prioritize and multitask while maintaining superior attention to detail and accuracy to meet deadlines.
  • Ability to thrive in a fast‑paced, entrepreneurial environment; flexible with respect to changing needs and tasks; able to work autonomously as well as take direction as needed.
