Volution Development Group is looking for a highly organized and proactive Executive Administrative Assistant to support the Owner of a dynamic and fast‑growing commercial construction and real estate development firm. This full‑time, on‑site role is not your typical EA position – it’s an opportunity to partner closely with the founder, gain deep exposure to business operations, and contribute meaningfully to the company’s strategic execution.
It is ideal for someone with a construction or real estate background looking to grow into a Chief of Staff‑level role.
- Manage calendar, scheduling, inbox, and administrative priorities for the Owner.
- Oversee the duties of the administrative assistant and audit all construction‑related documentation that comes through the office, including but not limited to AIA forms and Lien Waivers.
- Prepare meeting agendas, take notes, and coordinate follow‑ups with the project management team, suppliers, and subcontractors.
- Serve as a liaison with internal staff, clients, investors, and external partners.
- Coordinate travel, company events, and personal administrative tasks as needed.
- Support property tracking, due diligence, and development reporting.
- Help implement and improve systems to streamline operations and drive growth.
- 3+ years of experience supporting an executive or business owner in a fast‑paced environment.
- Minimum of 2 years hotel/hospitality experience.
- Background in commercial construction or real estate (e.g., property manager, broker, or EA in a related firm).
- Proficient with Google Workspace, Microsoft Office, and project‑management tools (e.g., Trello, Asana, Builder
TREND, CRMs). - Strong organizational, communication, and problem‑solving skills.
- Comfortable handling confidential and time‑sensitive information.
- Bachelor’s degree preferred.
- Organized, detail‑oriented, and effective at keeping others aligned and on track.
- Aware of industry changes with AI and comfortable using the latest AI software models.
- Proactive and independent – anticipates needs and takes initiative without being asked.
- Confident communicator with professionalism and poise across all interactions.
- Adaptable team player who enjoys a variety of tasks and challenges.
- Ambitious and growth‑minded – ready to step into leadership responsibilities over time.
