Job Summary:
As a Receptionist at Covenant House Texas, you will play a vital role in creating a welcoming environment for our youth, staff, and visitors. You will be the first point of contact for those entering the facility and will be responsible for managing front-desk activities, including answering phones, greeting youth, and providing general office support.
Key Responsibilities:
- Front Desk Management
:- Greet visitors and youth in a professional, courteous, and welcoming manner.
- Ensure all visitors are logged into the visitor tracking system and directed to the appropriate department or staff member.
- Answer, screen, and forward phone calls, ensuring messages are accurately relayed.
- Maintain and manage the reception area, keeping it organized and clean.
- Administrative Support
:- Assist with general administrative tasks, such as filing, data entry, and maintaining office supplies.
- Provide support for scheduling meetings and appointments as needed.
- Assist with incoming and outgoing mail and packages.
- Youth Assistance
:- Direct youth to the appropriate services or personnel as needed.
- Answer questions about the organization’s programs and services, providing information or redirecting youth to the correct resources.
- Provide compassionate and understanding assistance to youth in need, respecting confidentiality and privacy.
- Communication and Coordination
:- Maintain clear communication with staff, youth, and external partners.
- Relay important messages to the appropriate department or individual in a timely manner.
- Support special projects and events as needed.
- Compliance & Confidentiality
:- Adhere to all organizational policies, including those related to youth privacy and confidentiality.
- Assist in maintaining accurate and up-to-date records for visitors, youth, and staff.
- Education
:
High school diploma or equivalent required; associate’s or bachelor’s degree in business, administration, or related field preferred. - Experience
:- Previous experience in a receptionist or administrative support role preferred.
- Experience in a social services, nonprofit, or healthcare environment is a plus.
- Skills
:- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Exceptional organizational and time management skills.
- Compassionate and youth-focused with the ability to interact with a diverse population.
- Strong multitasking abilities and attention to detail.
- Ability to sit or stand for extended periods.
- May require occasional lifting of up to 15 pounds (e.g., office supplies, mail).
- This position is primarily based in an office setting within the Covenant House Texas facility.
- The role may involve occasional evening or weekend hours depending on the needs of the organization
