Entry-Level Program Associate provides essential administrative, analytical, and operational support to a specific Program Team. This position is ideal for a highly organized, detail-oriented professional with a passion for international development, seeking to begin a career in the non-profit sector.
Essential Functions and Responsibilities- Program and Grants Administration Support
- Grant Monitoring:
Assist the Program Manager with the initial review of grant proposals, and help track grantee reports, ensuring timely submission and compliance with donor requirements. - Document Management:
Maintain organized program files, including contracts, budgets, reports, and communications, ensuring all documentation is accurate and easily accessible. - Financial Tracking:
Support the tracking and reconciliation of program budgets and expenses, interfacing with the Finance Team and partners to ensure accurate accounting for grant expenditures.
- Grant Monitoring:
- Research and Reporting
- Background Research:
Conduct research on specific technical areas (e.g., gender-responsive climate adaptation, humanitarian response best practices) to inform program strategy and proposal development. - Information Synthesis:
Assist in compiling, analyzing, and synthesizing data from field offices to prepare summaries, reports, and presentations for internal leadership and external stakeholders (donors, partners). - Drafting Materials:
Prepare and coordinate the production of meeting materials, including drafting memos, presentations, and communication pieces with high-quality formatting and editing.

- Scheduling and Logistics:
Plan, coordinate, and manage initiative-related meetings and convenings, including calendaring, travel logistics (domestic and international, if needed), and managing associated communications. - Internal
Collaboration:
Serve as a liaison between the Program Team and other departments (e.g., Fundraising, Communications, Finance) to streamline operational workflows. - Process Improvement:
Identify and recommend improvements to administrative and grant management processes to enhance the team’s efficiency and data quality.
- Scheduling and Logistics:
- Experience:
0-2 years of professional experience (internships and volunteer experience count) in an administrative or project support capacity, preferably within a non-profit or development setting. - Skills:
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and excellent computer skills, including experience with data management or CRM systems. - Core Competencies:
Exceptional attention to detail, strong organizational and project management skills, and the ability to manage multiple priorities simultaneously under tight deadlines.
