Construction Administrative Assistant

We are seeking a highly organized and detail-oriented Construction Administrative Assistant to support our fast‑paced construction department. This role involves coordinating maintenance tasks, processing invoices, managing contractor onboarding, reviewing field inspector reports, and ensuring smooth workflow across multiple projects. The ideal candidate will have strong negotiation skills, data entry experience, and must be bilingual in English and Spanish

• Process invoices for projects within your assigned county, ensuring accuracy and timely payments.
• Find and onboard contractors, ensuring all necessary paperwork and compliance requirements are met before they begin work.
• Review field inspector reports for projects in your county and address any issues or updates needed.
• Coordinate and schedule maintenance tasks and inspections for all properties.
• Manage and prioritize work orders, ensuring timely completion of tasks.
• Maintain accurate records of maintenance activities, work orders, and contractor details.
• Monitor and control maintenance budgets, seeking cost‑effective solutions without compromising quality.
• Communicate effectively with other departments, contractors, and vendors to ensure smooth operations.
• Provide regular reports on property yards and cleaning statuses.
• Perform data entry tasks with a high level of accuracy.
• Utilize strong negotiation skills when working with vendors and contractors to ensure competitive pricing and quality service.
• Perform other assigned duties as needed to support the construction and maintenance team.
