Description The Administrative Clerk is responsible for handling tasks essential to the smooth operation of the Cabrini Center office. This includes organizing and maintaining client case files, data entry into case management systems, assisting with client communications, providing oral interpretation or written translation of documents, processing mail, maintaining office supplies, assisting with Charla and workshops, and participating in community outreach as appropriate.
Responsibilities- Case Data Management:
Collect information on individuals served and perform data entry into databases (e.g., Law Logix). Update legal case status and dispositions, applications for legal relief filed, and other data from clients, Immigration Court, USCIS, EOIR, or State Court. Generate statistical reports and ensure data accuracy. - Office Management:
Process mail, maintain office supplies and resources, and assist with clerical duties for the Cabrini Center. - Case Assistance:
Assist Paralegals and Attorneys with case info in case management systems, scheduling, client intake interviews, assembling case files, translating documents as needed, drafting correspondence, and preparing clients for hearings or USCIS interviews; provide interpretations at USCIS interviews as needed. - Meetings:
Attend mandatory UC team meetings, Cabrini staff meetings, Administrative Clerk meetings, and other agency meetings; participate in funder calls/meetings as appropriate. - Charla and Workshops:
Assist with setup, registration, and operation of Charla and workshops, including materials preparation and handouts. - Contract and Agency Compliance:
Ensure compliance with contract requirements; provide data and statistical information for grant and contract reporting; submit timely monthly data, time logs, and reports for internal and external use; participate in required trainings. - Outreach:
Participate in community outreach and legal education activities, including Charla and other events; prepare materials on immigration issues. - Other:
Perform other duties as assigned by the Legal Director and Managing Attorneys, such as assisting with in-house meetings and trainings, coordinating with partners, engaging in coalition activities, and participating in staff and agency events.
Expertise We’re Looking For
- High School Diploma or G.E.D.
- One (1) year of experience in an office environment
- Bilingual in Spanish and English

- Strong organizational skills, the ability to set priorities, multitask, and work under pressure
- Basic computer skills: word processing, spreadsheets, databases
