Position Summary

The Office Manager & Executive Assistant is responsible for the overall management, coordination, and effectiveness of the Houston office, a 15‑person onsite location. This role owns all aspects of the physical office environment and day‑to‑day operations while providing executive administrative support to senior leadership. The position requires a high degree of autonomy, judgment, and discretion. The individual in this role ensures the office operates efficiently, supports productivity, and reflects company standards, while anticipating needs and resolving issues independently.

Essential

Duties And Responsibilities Office Operations & Facilities Management
  • Own and manage daily office operations to ensure a safe, functional, organized, and professional workplace
  • Serve as the primary point of contact for building management, landlords, vendors, and service providers
  • Coordinate facilities maintenance, repairs, cleaning, security access, and office equipment
  • Manage office supply inventory, ordering, and vendor relationships
  • Monitor and manage office‑related expenses, invoices, and budget tracking
  • Ensure compliance with workplace safety standards, company policies, and operational procedures
  • Coordinate office setup for new hires, including workspace readiness, equipment, and access
  • Manage office moves, space planning, and reconfigurations as required
  • Develop, document, and improve office processes and operational workflows
Executive Administrative Support
  • Provide administrative support to senior leadership, including calendar management, scheduling, and meeting coordination
  • Prepare meeting agendas, materials, presentations, and follow‑up documentation
  • Coordinate travel arrangements and itineraries
  • Maintain confidential records and handle sensitive information with discretion
  • Support executive‑led initiatives and special projects as assigned
Office Experience & Coordination
  • Act as the central point of coordination for office communications and logistics
  • Coordinate internal meetings, leadership sessions, client visits, and onsite events
  • Ensure consistent standards for office presentation, organization, and hospitality
  • Support internal communication related to office operations and scheduling
  • Partner with HR, IT, and leadership to support onboarding, engagement, and operational needs
Decision‑Making Authority
  • Independently manage day‑to‑day office operations and vendor coordination
  • Make operational decisions within established budget and policy guidelines
  • Escalate issues that materially impact cost, risk, or business continuity
Required Qualifications
  • Minimum of 5 years of experience in office management, executive assistance, or a combined role
  • Demonstrated ability to manage an office environment independently
  • Strong organizational, time management, and prioritization skills
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism
  • Proficiency with Microsoft Office and scheduling tools
Preferred Qualifications
  • Experience supporting senior or executive‑level leaders
  • Experience managing office budgets and vendors
  • Experience in a professional services or corporate environment
