The Montrose Center is seeking a highly organized. proactive Executive Assistant to support the CEO and Executive Team. This role also provides administrative support for the Montrose Center's Board and Board committees. The ideal candidate demonstrates exceptional attention to detail, professionalism, strong boundaries, and the ability to handle highly sensitive and confidential information. You will play a key role in strengthening organizational operations and advancing services that uplift thousands in the community
Key Responsibilities
- Provide day-to-day executive support to the CEO, including managing complex calendar, drafting correspondence, preparing meeting materials, and tracking action items
- Support the Executive Team (CAO, CDO, and others) with scheduling, document preparation, and coordination
- Coordinate and support Board and Board committee meetings: agendas, materials, logistics, minutes, and communication with Board members
- Handle confidential and sensitive information with strict discretion and sound judgement
- Maintain organized filing systems; oversee records retention and ensure secure storage of sensitive documents
- Coordinate domestic and occasional international travel, including itineraries and reimbursement documentation
- Assist with internal and external event logistics and special projects as assigned
- Serve as a professional liaison between the executive office and staff, Board members, donors, community partners, and other stakeholders
- On-site with limited Hybrid flexibility
- 3-5 years of experience supporting senior or C-level leadership, preferably in a nonprofit setting
- Exceptional attention to detail and ability to manage multiple priorities
- High level of professionalism and strong, healthy professional boundaries
- Proven ability to manage and protect confidential information
- Advanced proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
- Excellent verbal and written communication skills, including proofing and document preparation
- Ability to work independently, anticipate needs, and adapt in a fast-paced, mission-driven environment
- Bachelor's degree preferred, or equivalent combination of experience and training
- Experience supporting nonprofit Boards and senior leadership teams
- Experience with donor, personnel, or confidential recordkeeping
- Familiarity with basic expense management and administrative processes
