We are seeking a highly organized and proactive Executive Assistant to support the leadership team of our family-owned and operated property management company. This role is ideal for a professional who thrives in a fast-paced environment, values strong working relationships, and takes pride in being a trusted partner to executives. The ideal candidate will be detail-oriented, discreet, and adaptable, with a strong sense of professionalism and an appreciation for the personalized approach that defines our company culture.
Responsibilities
* Provide high-level administrative support to the Vice President overseeing contracts, interior design, the Dallas market, construction, and additional company initiatives
* Coordinate and manage travel arrangements for all executives, including flights, accommodations, and itineraries
* Handle phone coverage, correspondence, filing, and data entry with accuracy and confidentiality
* Communicate and negotiate with vendors as needed to support executive operations
* Collaborate with the owner's personal secretaries to ensure smooth day-to-day operations within the executive office
* Assist with special projects and other administrative tasks as assigned
Qualifications
About the Role
* Minimum of 3 years of experience in an administrative support or office assistant role (required)
* Minimum of 3 years of experience in property management (preferred)
* Experience drafting legal documents (preferred)
* Strong employment history with a record of long-term tenure in previous roles
* High school diploma or equivalent (required); associate's or bachelor's degree (preferred)
* Exceptional attention to detail, particularly in typing and proofreading written materials
* Excellent organizational skills with the ability to manage multiple priorities and meet deadlines
* Professional communication skills, both written and verbal, with a clear and confident phone presence
* Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
